Automation and custom business systems

Less manual work. Better-connected systems.

ScandiBots helps businesses identify time-consuming tasks, automate workflows and connect their systems. We also develop portals, custom business software and chatbots — using AI where it makes sense. We build for you, or alongside your team.

Recognise the situation?

When work falls between systems

Entered twice

An order is copied from the store to a spreadsheet before someone updates the business system.

Status lives in email

Customers and colleagues ask for updates because tasks and documents are scattered.

The same questions again

Useful information exists, but finding the right answer depends on knowing whom to ask.

Our services

Start with the workflow you want to improve

Less manual work

Workflow automation

Connect the steps from an enquiry or order to follow-up and reporting. We build automation with clear rules, failure alerts and approval steps where needed.

APIs and system integrations

Move information between your online store, CRM, ERP and other tools. Before building the connection, we assess available APIs, data quality and which system should own each record.

Better overview and collaboration

Custom business software and ERP

When standard tools do not fit the way you work, we can develop modules or a tailored business system. We define processes, roles, integrations and any data migration before agreeing the scope.

Customer portals and internal tools

Bring information, tasks and self-service together in one place. We develop portals around their users, with agreed access roles and connections to the systems behind them.

Faster help with control

Chatbots and AI assistants

Help customers and employees using approved business information. We tailor language and content, define what the assistant may do and plan how enquiries are handed over to a person.

A clear place to start

Discovery and technical review

Where does manual work take up time, and where does information stop flowing? We review workflows and systems and recommend prioritised improvements, with dependencies and boundaries.

Advisory and training

Need help choosing tools, assessing an idea or improving something you already use? We offer practical advice and training tailored to your team and the task.

Illustrative examples — not customer cases

What a scoped improvement can look like

Workflow automation

A new B2B enquiry creates a draft customer task. An employee checks the details before a proposal is sent. Missing data stops the workflow and alerts the owner instead of sending an incomplete proposal.

APIs and system integrations

Order IDs and line items move from an online store to ERP. ERP owns stock status. A failed transfer can be retried without creating a new order, while exceptions go to manual review.

Explore scope and prerequisites

Customer portals and internal tools

A project customer signs in to see their own tasks and approve a document. A project manager follows several customers. The server checks customer membership on every request.

From discovery to agreed operations

  1. Discovery

We examine the task, systems and where information stops flowing.

  2. Scope and pilot

We choose a limited improvement and agree how to test it.

  3. Build and integrate

We build with agreed access, checkpoints and error handling.

  4. Test and hand over

Your team tests normal tasks and exceptions. Documentation and responsibilities accompany the delivery.

  5. Agreed operations

Support, monitoring and further development are clarified in the proposal.

Price and timeline are agreed after we clarify your needs, integrations and scope. Operations, licences and further development are specified in the proposal.

Access, data and responsibility are part of the scope

Before building, we agree which systems may be accessed, who approves important actions, how data and code can be exported, and who owns ongoing support. We test error cases as well as the normal workflow. Rights, licences and operating responsibilities belong in the agreement.

Questions before you start

Do we need to replace our current systems?

Not necessarily. We consider configuration and integration first. Standard software can be better than custom development when it meets the need and is easier to maintain.

What do we get from discovery?

An agreed view of workflows and systems, documented findings and a prioritised plan. A code review may have a different scope from workflow discovery.

Can you connect to our ERP or CRM?

We first need to assess APIs, licence tier, access and data quality. Include system names in your enquiry so we can evaluate what a connection requires.

Who owns data and code?

Rights to data, code, export and third-party licences are agreed before building. We also clarify which access is needed and how it will be removed.

How are price and ongoing support agreed?

Projects are priced after scope is clarified. Operations, licences, usage and further development are specified separately in the proposal. Chatbot subscriptions apply to the chatbot service.

Does the solution need AI?

No. Clear rules and conventional integrations are often sufficient. When AI is used, we agree controls, uncertainty handling and when an employee should take over.
